This Privacy Policy explains how LinearNexus collects, uses, stores, processes, and protects information when you access or use our platform, website, APIs, and connected messaging integrations (including Google Workspace, Microsoft 365, and WhatsApp).

2. Google API Services & Limited Use Policy Compliance

LinearNexus's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Strict Prohibition on General AI/LLM Training:LinearNexus strictly does NOT use Google user data, email contents, message metadata, or attachments to train, fine-tune, retrain, or improve generalized foundation AI models or public machine learning algorithms. All AI triage and drafting are performed in isolated, stateless runtime contexts solely to deliver features for your workspace.

No Data Selling or Advertising:We do not sell, rent, monetize, or transfer Google user data to third-party data brokers, advertising platforms, or information resellers under any circumstances.

Human Access Restrictions:Human personnel are strictly prohibited from viewing or reading your private email content unless: (a) you have provided explicit prior written consent for specific technical troubleshooting; (b) it is strictly necessary for security forensics or investigating security incidents; or (c) required by applicable law.

We collect information only to the extent necessary to provide the LinearNexus omnichannel CRM services:

A. User Account Information

Full name, email address, password hashes
Company / Organization name and workspace role
Profile photos and contact preferences

B. Google & Email Integration Data

OAuth 2.0 access & refresh tokens (encrypted at rest)
Email headers (Sender, Recipient, Subject, Date)
Email thread messages and signature blocks for contact enrichment
Calendar event availability and free/busy time slots

C. WhatsApp Channel Data

Connected business phone numbers
Inbound/outbound customer chat transcripts
Contact phone numbers and customer names

D. Knowledge Base Documents

Company brochures, FAQs, and product documentation uploaded by admins
Parsed vector text embeddings stored in isolated tenant storage

4. How We Use Your Information

LinearNexus uses the collected data solely for the following explicit operational purposes:

Unified Inbox Sync: To aggregate and synchronize two-way conversations across WhatsApp and Gmail/Outlook in real time.
AI Inbound Triage & Enrichment: To categorize incoming inquiries (e.g., Lead, Support, Meeting Request, Spam) and parse contact signatures into structured CRM prospect records.
AI Draft Generation (RAG): To generate suggested reply drafts grounded strictly in your uploaded knowledge base documents and calendar availability.
Pipeline Management: To associate customer interactions with deals on your customizable Kanban board.
Authentication & Security: To authenticate team members, prevent unauthorized access, and protect your workspace.

5. Data Security & Storage

We implement enterprise-grade technical and organizational security controls:

Encryption in Transit & at Rest

All external and internal communication is enforced with TLS 1.2 / TLS 1.3 HTTPS encryption. All database records, OAuth credentials, and sensitive tokens are encrypted at rest using AES-256 encryption.

Multi-Tenant Tenant Isolation

Each organization workspace operates under strict multi-tenant boundary isolation. One workspace can never query, view, or access documents or conversations belonging to another workspace.

6. Third-Party Service Providers

We partner with trusted infrastructure sub-processors strictly to host and execute application services. All sub-processors are vetted for SOC 2 / ISO 27001 compliance:

Google Cloud Platform: Authentication and OAuth 2.0 API integration.
AI LLM Providers (Google Gemini API): Used via enterprise API endpoints where data is not retained for model training.
Amazon Web Services (AWS S3): Secure, encrypted object storage for workspace knowledge base documents.

7. Your Rights & Data Deletion

You have full control over your data at all times:

Revoke Google OAuth Access: You can disconnect your Google account at any time directly inside LinearNexus Settings or via your Google Account Permissions Page. Upon disconnection, all stored tokens are permanently invalidated.
Request Complete Data Deletion: You can request immediate and permanent deletion of your workspace, synced emails, chat logs, and uploaded knowledge base documents by emailing devops@linearloop.io. Deletion is executed within 30 calendar days.
